# Email Templates

## Email Templates

Email Templates define the subject and message content used for manual or automated emails sent through Lendflow. They are separate from email branding, which controls visual elements such as the logo, header, and background.

## Before you begin

Your organization must have custom email templates enabled. If **Email** is not available under **Builders > Communication**, contact your Lendflow administrator.

## Open Email Templates

In the Lendflow Dashboard, open **Builders > Communication > Email**. From this page, you can:

* Search existing templates.
* Switch between list and tile views.
* Review template IDs, publication status, approval status, visibility, creator, and last update.
* Create, edit, duplicate, or delete templates according to your permissions.

## Create an email template

1. Open **Builders > Communication > Email**.
2. Select **New Template**.
3. Enter a template name and optional description.
4. Configure the email **Subject**.
5. Add **Cc** or **Bcc** recipients when applicable.
6. Enter the email **Title** and **Body**.
7. Insert Dynamic Fields where Lendflow should populate information from the application.
8. Format the body using the available text tools.
9. Select **Send Email** to send a test message and review the rendered content.
10. Select **Save Draft** if the template is not ready, or select **Publish** to submit the completed template for use and approval.

Confirm that Dynamic Fields resolve correctly in the test email before publishing the template.

## Understand template status

Email Templates have two separate status fields.

| Status field | Values | Meaning |
| - | - | - |
| **Status** | Draft or Published | Indicates whether the template is still being edited or has been submitted for use. |
| **Approval Status** | Awaiting Approval, Approved, or Declined | Indicates whether a Lendflow administrator has approved the template's content. |

A template must be published and approved before it can be used for active communications. If a template is declined, update the content as needed and submit it again.

## Set template visibility

Open the three-dot action menu for a template to change who can use it.

| Visibility | Who can use it |
| - | - |
| **Personal** | Only the user who created the template. |
| **Organizational** | Users in the template owner's organization who have the applicable permissions. |
| **Global** | Users across Lendflow organizations. Only a Lendflow administrator can make a template Global. |

Use Organizational visibility when multiple members of your organization need the same approved message.

## Manage existing templates

Depending on your permissions, the template action menu lets you:

* Edit the template.
* Duplicate it as the starting point for another message.
* Change its visibility.
* Delete a template that is no longer needed.

Review workflows that use a template before editing or deleting it.

## Use templates in workflow notifications

In **Builders > Workflow**, open the applicable workflow template and configure its email notifications. For each enabled notification, select the approved email template and applicable email branding.

## Email templates and email branding

Email Templates control the message:

* Subject.
* Title and body.
* Cc and Bcc recipients.
* Dynamic application information.

Email branding controls the visual presentation, including colors, logos, and background images. See [Create email branding](/lendflow-external/docs/application-widget#create-email-branding) when you need to change those elements.

    Confirm that the template is Published, its Approval Status is Approved, and its visibility makes it available to the user configuring the workflow.

    Published indicates that the template is no longer a draft. Approved indicates that a Lendflow administrator has reviewed and approved its content. An active template needs both statuses.

    A Lendflow administrator declined the submitted content. Review the template, make the required corrections, and publish the updated version for approval.

  <Accordion title="Who can create a Global template?">
    Only a Lendflow administrator can make a template available globally.

  <Accordion title="What is the difference between an Email Template and email branding?">
    An Email Template defines the message content. Email branding defines the visual design applied when Lendflow sends the message.
